Standard Operating Procedure (SOP) for Data Management in Xinstudy.org

1. Data Collection Process

  • Step 1: Users submit personal data through various channels:

    • Messaging Apps: WhatsApp, Telegram, WeChat, Messenger.

    • Email: Gmail, Outlook.

    • Web Forms: Wix Form, Google Form.

  • Step 2: Upon submission, data is stored in Google Sheets, Google Drive, and associated messaging app databases (as required).

  • Step 3: All data is organized and stored in compliance with PDPA, with proper access control.

2. User Data Usage

  • Step 1: Data is used to provide users with the requested services, communications, and updates about our offerings.

  • Step 2: Annual Updates: An email will be sent to users with data stored about them to update them on services, offers, and promotions. Users can opt out at any time.

  • Step 3: Any user that opts out will have their data deleted within 48 hours.

3. Data Deletion Request Process

  • Step 1: When a user contacts Xinstudy.org via WhatsApp, Telegram, WeChat, Messenger, or email to request data deletion, verify the user's identity if necessary.

  • Step 2: Acknowledge the request within 24 hours and inform the user that their data will be deleted within 48 hours.

  • Step 3: Upon receiving a deletion request, locate and remove the user’s data from Google Sheets, Google Drive, Wix Forms, and messaging app databases within 48 hours.

  • Step 4: Send a confirmation email or message to the user once their data has been deleted.

4. Data Retention and Unsubscribe Process

  • Step 1: Data will be stored until the user opts out or requests deletion. Ensure the data is not kept longer than necessary for the purposes outlined in the Privacy Policy.

  • Step 2: Annually, an email will be sent to users with stored data, containing updates on services and offers. Users can opt-out at any time.

  • Step 3: If a user unsubscribes, their data will be immediately deleted within 48 hours.

5. Access and Correction of Data

  • Step 1: Upon user request, provide access to the data stored about them.

  • Step 2: Allow users to correct any inaccuracies in their data by requesting updates via email, WhatsApp, or any other contact method.

  • Step 3: Ensure all requests for access or correction are processed within 48 hours.

6. Data Protection Measures

  • Step 1: Ensure that only authorized staff members have access to personal data stored in Google Sheets, Google Drive, Wix Forms, email systems, and messaging apps.

  • Step 2: Use Google’s built-in security measures (e.g., two-factor authentication) to secure user data.

7. Incident Management (Data Breach)

  • Step 1: If a data breach occurs, immediately notify affected users and the Personal Data Protection Commission (PDPC) within 72 hours, as required by the PDPA.

  • Step 2: Implement corrective measures to prevent future breaches.
